1. How to log in as Staff (2 ways)
    1. fitnessnorthwest.com -> Register/Login -> login info as Staff (upon login brings you to my account page first)
    2. fcom/admin -> login info as staff (bring you admin dash board right away)

 

  1. Creating a new account on the website

 

  1. From the website or logged off as staff (Front end)
    fitnessnorthwest.com-> Register/login -> enter info and submit.


* better if client does it themselves or be present at the counter to enter his username and password

 

  1. When logged in as Staff (Back end) first page showing is My account page.
    fitness northwest (top left) – > Dashboard -> Users -> Add New

     

  1. Adding a membership to a client’s profile as staff
    1. Dashboard -> Woocommerce -> Memberships -> Add Member -> Add an existing user as a member -> Select user (type name) -> Add member button ->Chose plan, enter expiry date and click save.

Dashboard -> Users -> Find user -> Edit -> Scroll all the way down -> Enter membership manually. Chose plan, enter expiry date and click save.

  1. Adding a spin card credit to a client’s profile.
    1. Dashboard -> Users -> search user -> View under specific user -> select product in shopping page -> Add to cart -> checkout -> enter payment info with client’s details and email.
    2. Use store credit option below

  2. Adding any credit amount to a client’s profile.
    1. Dashboard -> Woocommerce -> Coupons -> Send Store Credit -> enter email address and amount you wish to credit. Enter quick message if need to. Press Send.

       

  3. Booking a class for a client as staff.
    1. (Front end or logged off) only if client is not a member and will pay 10$ drop in.
      fitnessnorthwest.com-> group classes -> select class -> date and time -> sign up -> checkout -> enter name payment info with correct email address -> place order.

 

  1. (Back end or logged in as staff) if client has a membership active and doesn’t pay for classes.
    visit site (top left corner under fitness northwest with the house) -> group classes -> select class -> date and time -> sign up > checkout -> enter client’s name and email and whatever address -> place order.

 

 

  1. Cancelling a Booking
    1. Dashboard- > booking -> select specific product and click filter -> select all the bookings to cancel for the same date and time – > select bulk action to cancel booking and click apply. Client should receive an email that their booking is cancelled.

       

  2. How to issue a refund for membership and spin classes
    1. Dashboard -> Woocommerce -> Orders -> select specific order by clicking on it, double check order ID# ->
      Change status to refunded
      Make sure it’s the right customer you are refunding. If order was placed by staff you will see fitness northwest staff as customer.

       

In the box below there should be items (one or more depending on order)
Click Refund (bottom left corner of that box)
Enter the quantity of item to refund. Price should display by it self or you can enter partial refund in the case of a membership.
Enter reason for refund
Click Refund via Elavon Converge Credit Card.

  1. If it’s only a spin class refund you can use store credit option and credit them with 4$. Dashboard -> Woocommerce -> Coupons -> Send Store Credit -> enter email address and amount you wish to credit. Enter quick message if need to. Press Send.

     

  1. Printing Class Roster for Attendance
    1. Dashboard -> Bookings -> Calendar -> Select Date -> Filter by product -> Set to Schedule to see client names -> with mouse select date and all the name, right click and print. Make sure to tick the box or select “print selection only” option. Untick headers and footers and background graphic.
